CANCELLATION, MODIFICATION AND REFUND POLICY

By making a reservation with HOSHTEL99, whether through its website, telephone, WhatsApp, email, an online travel platform or any other booking channel, the guest acknowledges and agrees to the following terms:

 

1. Booking Confirmation and Advance Payment

  1. A reservation shall be considered confirmed only after the required advance payment or full booking amount has been received by HOSHTEL99.

  2. Any advance, deposit or booking amount paid to confirm a reservation is strictly non-refundable, except where HOSHTEL99 itself is unable to provide the confirmed accommodation.

  3. Any outstanding balance must be paid before or at the time of check-in, as communicated during the booking process.

 

2. Daily Stay Bookings

  1. Cancellation of a Daily Stay booking shall result in the forfeiture of the entire advance or booking amount paid.

  2. Guests cannot shorten a confirmed reservation after check-in. No refund, credit or adjustment shall be provided for unused nights.

  3. A request to change the check-in date may be considered only when submitted at least 72 hours before the scheduled check-in date.

  4. Date-change requests are subject to availability, revised tariffs and HOSHTEL99’s approval. Approval of such a request is discretionary and shall not constitute an entitlement.

 

3. Super 7 and Flex 30 Plans

  1. Upon purchasing the applicable plan, the guest shall receive 30, 60 or 90 nights of stay credit, depending on the plan selected.

  2. For plans subject to a validity period, the stay credits must be utilized within 365 days from the date of the guest’s first check-in under the plan.

  3. Plan 3 shall not have a fixed expiry date, unless otherwise expressly stated in the booking confirmation or plan terms issued at the time of purchase.

  4. The entire plan amount is payable in advance and is strictly non-refundable, whether or not the guest ultimately utilises all the stay credits.

  5. Guests are strongly advised to submit their reservation request at least seven days before the intended check-in date.

  6. Submission of a reservation request does not constitute confirmation of accommodation. A booking shall be considered confirmed only after written confirmation has been issued by management.

  7. Accommodation under a stay-credit plan is always subject to:

  8. Availability on the requested dates;

  9. Availability within the applicable room, pod or bed category;

  10. Property occupancy and operational requirements;

  11. Minimum-stay or peak-period restrictions, where applicable; and

  12. Written approval from management.

  13. Availability is not guaranteed, particularly during weekends, holidays, events, festivals and other high-demand periods. Earlier reservation requests increase the likelihood of securing accommodation but do not guarantee it.

  14. Where the requested dates are unavailable, the guest may request alternative available dates. Unavailability on a particular date shall not entitle the guest to a cash refund, compensation or cancellation of the plan.

  15. Any last-minute cancellation, rescheduling request, shortening of stay or other booking change shall be subject entirely to management’s discretion.

  16. Depending on occupancy levels, notice provided, booking demand and the circumstances of the request, management may either:

  17. Restore the affected nights to the guest’s remaining stay-credit balance; or

  18. Treat the affected nights as utilised and deduct them from the guest’s total stay-credit balance.

  19. The restoration of stay credits in one instance shall not create an entitlement or precedent for any subsequent cancellation, rescheduling request or booking modification.

  20. A guest who fails to arrive for a confirmed reservation without prior approval shall be treated as a no-show, and the nights reserved may be deducted from the guest’s stay-credit balance.

  21. Stay credits are personal to the registered guest and cannot be transferred, shared, resold, assigned or exchanged for cash without prior written approval from management.

  22. Any unused stay credits remaining after the applicable validity period shall automatically lapse without refund, extension, compensation or conversion into another plan. This expiry provision shall not apply to Plan 3 where the plan has been expressly confirmed as having no fixed end date.

 

4. Monthly and Continuous-Stay Bookings

  1. Monthly and continuous-stay reservations are made for a fixed and uninterrupted occupancy period.

  2. Any booking amount, advance payment or reservation fee paid to confirm the stay is strictly non-refundable.

  3. Any remaining accommodation balance must be paid in full at the time of check-in, unless otherwise confirmed by the property in writing.

  4. Monthly rent must be paid between the 1st and 5th day of each month. Failure to make payment within this period may result in late-payment charges, suspension of services or termination of the stay.

  5. A confirmed monthly stay cannot be shortened, paused, divided or adjusted against periods during which the resident is absent from the property.

  6. Any extension of the stay shall be subject to availability, prevailing tariffs and written confirmation from the property.

  7. Cancellations, early departures or interruptions of stay for any reason—including personal, professional, medical, weather-related or travel-related circumstances—shall not qualify for any refund, credit or adjustment.

  8. Where a refundable security deposit has been collected, it shall ordinarily be refunded within 15 days after check-out and completion of the room or bed handover, after adjusting:

    • Unpaid rent or other outstanding dues;

    • Damage to the property, furniture, fixtures, linen or equipment;

    • Cleaning, repair or replacement charges;

    • Lost keys, access cards or other property items; and

    • Any other amount payable by the resident.

  9. Any violation of the property’s Zero-Tolerance Policy, as communicated during booking or at check-in, may result in immediate termination of the stay without prior notice and forfeiture of the security deposit.

  10. If a resident pays rent for an upcoming monthly period and vacates before the end of that paid period, the prepaid monthly rent shall remain strictly non-refundable.

  11. In such a case, the resident shall also forfeit the security deposit, if any, in addition to the prepaid monthly rent, subject to adjustment of any further outstanding dues or damages.

  12. No refund or compensation shall be payable for the remaining unused portion of a monthly stay, except where the property itself is unable to provide the confirmed accommodation or where otherwise required by applicable law.

 

5. Booking Modifications

  1. Any change in the check-in date, check-out date, room category, bed category or number of occupants shall be subject to availability and approval by HOSHTEL99.

  2. If the revised tariff is higher, the guest must pay the applicable difference before the modification is confirmed.

  3. If the revised tariff is lower, the difference shall not be refunded or adjusted unless expressly approved in writing by HOSHTEL99.

  4. A modification request shall not be considered confirmed until written confirmation has been issued by HOSHTEL99.

 

6. No-Show and Late Arrival

  1. A guest who does not arrive on the scheduled check-in date and fails to inform HOSHTEL99 in advance shall be treated as a no-show.

  2. In case of a no-show, the entire booking amount shall be forfeited, and HOSHTEL99 may release the reserved bed or room for another guest.

  3. A delayed arrival does not entitle the guest to an extension, refund or reduction in the booking amount.

 

7. Early Departure

Once the guest has checked in, any voluntary early departure, change of plans, relocation or decision not to continue the stay shall not qualify for a refund or stay extension.

This applies irrespective of whether the early departure is caused by personal, professional, medical, transportation or other circumstances affecting the guest.

 

8. Exceptional Circumstances and Stay Credit

In exceptional circumstances, HOSHTEL99 may, entirely at its discretion, offer a limited stay credit instead of a refund.

Any such credit:

  • Must be confirmed in writing by HOSHTEL99;

  • Must be used within the validity period communicated;

  • Shall be subject to availability and prevailing rack tariffs;

  • Cannot be transferred or exchanged for cash; and

  • Does not establish a precedent for any future booking or guest.

 

9. Force Majeure and Travel Disruptions

HOSHTEL99 shall not be responsible for cancellations, delayed arrivals or interrupted stays resulting from circumstances beyond its reasonable control, including:

  • Natural disasters or extreme weather;

  • Government restrictions or regulatory action;

  • Strikes, transport disruption or flight cancellation;

  • Epidemics, pandemics or public-health restrictions;

  • Personal emergencies, illness or changes in travel plans; or

  • Any other event outside HOSHTEL99’s direct control.

Such circumstances shall not automatically entitle the guest to a refund. Any stay credit or alternative arrangement shall remain subject to HOSHTEL99’s discretion.

 

10. Cancellation by HOSHTEL99

HOSHTEL99 reserves the right to cancel or terminate a reservation where:

  • The guest has provided false or misleading information;

  • Required payment has not been received within the stipulated period;

  • The guest violates HOSHTEL99’s guest, safety or conduct policies;

  • The booking involves unauthorised commercial activity;

  • The accommodation becomes unavailable due to operational or safety reasons; or

  • The guest’s conduct threatens the safety, security or comfort of other residents or staff.

Where cancellation is attributable solely to HOSHTEL99’s inability to provide the confirmed accommodation, HOSHTEL99 may provide either:

  1. Reasonably comparable alternative accommodation; or

  2. A refund of the amount received for the accommodation that HOSHTEL99 is unable to provide.

No additional compensation shall be payable.

 

11. Third-Party Booking Platforms

Bookings made through online travel agencies or third-party platforms shall also be governed by the cancellation and payment conditions displayed on the relevant platform.

Where the platform’s cancellation terms differ from this policy, the terms shown and accepted at the time of booking through that platform shall apply.

Refund requests concerning payments collected directly by a third-party platform must be submitted through that platform.

 

12. Approved Refunds

Where a refund is specifically approved in writing:

  1. It shall ordinarily be processed through the original payment method.

  2. The processing period may take approximately 7–14 working days, excluding any additional time taken by the guest’s bank, card issuer or payment service provider.

  3. Applicable payment-gateway, banking or transaction charges may be deducted unless the reservation was cancelled solely because HOSHTEL99 could not provide the confirmed accommodation.

 

13. Acceptance of Policy

Completion of a reservation or payment of any booking amount shall constitute the guest’s unconditional acceptance of this Cancellation, Modification and Refund Policy.
